The Cambridge Housing Authority (CHA) in Massachusetts embarked on a transformative journey to implement a new Enterprise Resource Planning (ERP) solution, Yardi, aimed at enhancing its operational efficiency and service delivery. Recognizing the complexity and significance of this endeavor, CHA enlisted Avèro as its Executive Project Management Team to guide and oversee the project from inception to completion and beyond.

The primary goal of this project is to ensure a seamless and effective transition to the Yardi ERP system across all CHA departments, including Development, Fiscal, Housing Operations, New Construction, and Procurement. This involves coordinating the project meticulously to ensure it meets its timelines, stays within budget, and ultimately delivers on the promise of enhanced operational efficiency and improved service delivery for CHA.

Avèro’s comprehensive approach to managing this project encompasses several critical areas:

  1. Project Coordination and Executive Reporting

Avèro has taken charge of organizing daily meetings to keep the project on track, while also providing CHA executives with regular updates on the project’s progress. This dual focus ensures both strategic alignment and operational oversight, facilitating informed decision-making at the highest levels.

  1. Process Mapping and Redesign

A crucial initial step involved mapping the current-state processes for each department to identify inefficiencies and areas for improvement. This exhaustive mapping covered a wide range of processes, including accounts payable, accounts receivable, budget creation, cash receipting, journal entries/general ledger, and purchase card processes.

  1. Workflow Design and Implementation Management

Working in close collaboration with CHA and the Yardi implementor, Avèro is at the forefront of designing streamlined workflows for the new ERP solution. The team is dedicated to managing the project’s implementation with a keen eye on timely completion and budget adherence. This includes navigating the challenges of integrating diverse departmental needs into a cohesive ERP system that serves the entire organization.

  1. Training Coordination and Data Integration

A key component of the project is preparing CHA staff for the transition through comprehensive training programs. Avèro is coordinating these activities to ensure staff are well-equipped to utilize the new system effectively. Additionally, as data is transferred to the test environment, Avèro works closely with various teams to confirm that the redesigned workflows perform as intended, addressing any issues that arise promptly.

Current Status and Outlook

The project is currently in an advanced stage, with significant progress made toward implementing the Yardi ERP system at CHA. Through Avèro’s expert project management and collaborative approach with CHA and the Yardi implementor, the project is on track to achieve its objectives. As it moves closer to completion, the focus remains on ensuring that the new system will deliver the expected benefits of streamlined operations and enhanced service delivery capabilities for CHA.
